Procurement Administrator

Kelly Services has an exciting opportunity for a Procurement Administrator with one of our top clients located in Blue Ash, Ohio.  This is a 5+ year assignment with benefits.

Salary:  $47,840.00 plus benefits

This position functions as an extension of the Procurement Buyer / Plannere in Research & Development and will support Product Managers with capital purchase orders, supplier communication and other administrative duties as assigned.

Purchase Orders

  1. Process purchase requisitions and place purchase orders (appropriation expense & capital) with selected suppliers. 
    1. Purchased items may include services, prototype components, sample raw materials, tools and catalog supplies.
  2. Connect with suppliers as needed for information regarding purchase requisitions, purchase orders, or invoicing.
  3. Check order status, modify quantities or due dates as needed.
  4. Working with the Vision database to better assist the PM managers with monitoring capital spend for each R&D project and LCE capital.  Reports will be generated to determine what PO’s still have money left on the purchase order and work directly with the PM group to have the supplier invoice accordingly to utilize the spend.

Invoice Resolution

  1. Resolve invoice issues by working with the PM group, Suppliers, Accounts Payable to resolve invoice issues regarding cost, quantity or delivery of product.
  2. Create Affiliate requests for Stop Payments, Credit Memos, Early Release Payments, along with other Account Payable responsibilities.  Provide directions on how to resolve invoice issues, mailing the invoices directly to our AP department to expedite payments for the suppliers. Trouble Shoot invoice issues via print screen and reports.

Project Prototype Components Inventory Control

  1. Work with the Product Development team to receive, track status/revise and inventory the prototype components for each respective project.
  2. Project and Component quantity, activity urgency will vary based on R&D project workload. Components are typically received and inventoried in the facility as well as made available to the project teams on an as needed basis.

Customer Service

  1. Communicate with and provide customer service to multiple levels of management.
  2. Analyze, enter and track PM capital purchase order requests for Endo Mech, Energy, and Robotics.
  3. Maintain Asset logs for all projects (including obtaining new asset numbers when needed, keeping the log updated and working with PM group to close the aCAR)
  4. Ad Hoc requests for updating and/or closing purchase orders.
  5. Provide additional reports, presentations, or spreadsheets as requested.


  1. High school diploma or GED required.
  2. Associates or Bachelor’s degree in Finance or related field preferred.
  3. 2-5+ years of experience in a finance or administrative role required.
  4. Previous experience working with external vendors or suppliers, ordering parts and/or services and utilizing a procurement system (preferably Ariba or ARAVO) preferred.
  5. Microsoft Excel experience required and must have technical skills and be willing to easily learn new systems.
  6. Excellent communication and customer service skills required.
