Job Description

Construction/ Cost Department Assistant - Monday - Friday 8:00 am - 5:00 pm. Hourly pay rate $15.00
Must have construction background!
Job Description:
a. Setup and maintenance of cost department job folders duties to include but are not limited to: recycling old job files and sending them off to archives, filing, and initial setup of new jobs.
b. Separate and file various incoming documents into purchasing job files.
c. Assisting the Account manager with various tasks, duties to include but are not limited to: system maintenance, PO distribution, processing change orders, scanning, and distributing incoming mail.
d. Inputting all VPOs into the FAST System and ensure all VPOs are processed weekly.
e. Ensure all invoices received by cut off and ready for builder to approve for payment.
f. Assist in maintaining vendor list and mailing list; perform mass mail-outs.
g. Assist in compiling builder start packages prior to release to permitting department.
h. Research past due POs, VPOs, or change orders regarding past due accounts.
i. Perform other duties as assigned by the purchasing manager.

B. Construction Department
a. Permitting Assistance: Share in Permitting responsibilities and serve as back-up to Corporate Permitting staff.
b. Follow up on receiving all construction documents received for permit applications and check for corrections before submitting.
c. Aid Builders as required (documentation, correspondence, checking job sites for code compliance, clean-up, etc.)

C. Administrative Support to Operations and Purchasing Manager.
a. Assist with setting up meetings, appointments and interviews
b. Assist with general office needs


A. Must maintain professionalism with customers and business associates
B. Ability to manage multiple assignments
C. Strong attention to detail
D. Ability to work in a fast-paced environment
