Administrative Assistant

Job Title: Contract Marketing Administrator

Location: Somerville, NJ 08876

Pay rate: $30.50/hour

Length of Assignment: 1 year, potential to be extended up to 2 years max

Responsible for:

  • Purchase order processing
  • Calendar invites and meeting setup, such as logistics, rooms, catering, etc.
  • EOS submissions, HCP SOW requests
  • Meeting logistics and administrative help with external partners
  • Various shipments coordination e.g. launch kits, collaterals, etc.
  • Clinical specialists coordination e.g. GYN platform
  • General administrative duties; HCP contracting
  • Totality
  • Travel
  • Report creation/assimilation e.g.
  • Getting feedback from the field on existing customer base, top 100, AC use, etc.
  • Manage literature fulfillment: stock levels, usage rates, reprinting, set-up in GS Onestop, etc.
  • Expense report processing
  • PO spend and budget reconciliation.

LINX Marketing

  • Physician Finder questions- use form to submit new, updates or removals, work with vendor on site corrections time consuming right now as the site is not working correctly
  • suggestions
  • Material management- inventory, availability, ordering instructions/support
  • Managing Showpad Materials
  • Setup and execution of marketing webinars for FSO.


  • Minimum of a High School Diploma completed
  • Proficient with Excel, PowerPoint, Word, and coordinate multiple inhouse and external parties
  • Ability to multi-task and prioritize requests, access and navigate internal system eMarketplace, Optimizer, etc.
  • Must be able to handle confidential matters requiring discretion with flexibility in responding to shifting priorities and interruptions with professional outlook.
  • Must demonstrate excellent judgment and the ability to solve problems proactively.
  • Candidate must be professional at all times; be detail-oriented, thorough, accurate and well organized.
