Job Description

ON-SITE ADMINISTRATIVE ASSISTANT

This position is a -front desk-/first point of contact at an on-site community management office.

Job duties listed below
Assist in the distribution of Association information.
Perform the following duties related to access control:
Access Control System
Maintain user database in ADT Select Entry System.
Issue and revoke access for property owners and service providers.
Periodically check system to insure both locations show activity.
Report any system failure to service provider for repair.
Gate Access System
Maintain user database in Door King Entry System.
Issue and revoke access for property owners and service providers.
Collect fees for key fobs upon issuance.
Report any system failure to service provider for repair.
Vehicle Parking Decals
Issue vehicle decals
Be the drop off point for
Owner forms
Owner payments
Event checks
Provide Committee support including but not limited to:
Document preparation
Copying
Maintain online reservation calendars for:
-Plantation Club Member Lounge
-Pickle Ball and Tennis Courts
-Indoor Pool
-Outdoor Pavilion

Process all checks received in the office in a timely manner
Submit debit card receipts from Board and Committee Members to accounting
Send email updates to the community as needed
Answer Association telephones and respond to questions, resolve issues or direct the question or issue to the appropriate person
Read Association e-mails and respond to questions, resolve issues or forward the e-mail to the appropriate person
Maintain a list of all Association members and their address, telephone number and e-mail address
Attend Association-s annual meeting, assist with preparation and take minutes
Contact vendors and arrange for service as requested
Additional tasks as assigned by manager


Requirements

Applicant must be proficient in Microsoft Office and have excellent written and verbal communication skills.
