Job Description:

  • Supporting Clients Experience Center project
  • Support Corporate Communications Manager
  • Assist other Corporate Communication analysts, managers and general manager as needed.
  • Work with procurement to add new suppliers to pay invoices.
  • Reconcile budget and pcards
  • Coordinate NPLD activities including project management, ordering project materials, coordinating lunches for the week, scheduling project meetings.
  • Assist with event planning for internal and external events (President’s receptions, Grant Recipients receptions, Line-Off ceremonies, Grant Workshops)
  • Coordinate record keeping of KPI data. At the end of the fiscal year, compile data and generate report.
  • Complete grant process in Cyber Grants including approving and declining grants and sending approval emails to recipients.
  • Assist with Toyota 4 Good questions and concerns.
  • Purchase supplies as needed.
  • Assist TMMMS executives as needed with schedule coordination, PowerPoint presentations, presentation gifts and supplies, support at presentations.
  • Organize and track “swag” gifts for visitors.
  • Coordinate completion of paperwork for vehicle donations.
  • Support video/photo shoots – PPE prep, etc.
  • Coordinate team member attendance at sponsored events (fill sponsored tables).
  • Assist with tour program as needed (certified tram driver, assist with booking tours).
  • Monthly: compile department activities for executive report.
  • 5% Travel


  • Proven admin or assistant experience
  • Knowledge of office management systems and procedures
  • Excellent time management skills and ability to multi-task and prioritize work
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • Strong organizational and planning skills
  • Proficient in MS Office
