Position: Sr. Administrative Assistant / Executive Assistant
Type: Temporary
Duration: 3 months
Location: San Francisco, CA
Schedule: Monday - Friday 8:00am - 5:00pm

Pay rate: $33.00 - $43.21/per hour (depending on experience)

Responsibilities:
- Providing analytical and specialized administrative support to relieve and assist executive and staff managers of complex details and advanced administrative duties
- Coordinates activities between departments and outside parties
- Contacts company personnel at all organizational levels to gather information
- Work is generally of a critical or confidential nature
- Manages coordination and calendar scheduling of meetings, conference calls, off-site events, catering and travel arrangements
- Prioritizes responsibilities while managing multiple projects
- Collects, prepares and reconciles information for reports
- Fosters and maintains strong working relationships within all levels of the company, outside vendors and contacts
- Maintains high level of customer satisfaction
- Distributes schedules, agendas, meeting minutes and other materials upon request
- SOX Administrator / Assists in the preparation of IT GCCs, and maintains, revises and issues the IT General Computer Controls (IT GCC) and associated tests for these IT GCC's on a periodic bases
- Ensures the IT GCC's are performed throughout the year escalating to IT management, as needed
- Maintains/organizes the results of all IT GCCs to ensure accessibility is available to IT management at all times
- Performs extensive annual IT GCC testing and reviews results with internal audit, preparing follow-up procedures on internal audit recommendations
- Performance and monitoring of certain daily IT systems, such as backup tape media rotation and offsite storage, review of the IT monitoring system for low level non-critical alerts communicating those to the IT staff, as appropriate, and physical inspection of the server rooms to ensure that all audible and visual alarms are taken care of
- Maintains record types of IT Quality Documents
- Issues new change request and document numbers to IT staff as requested
- Routes the documents and CRs for approval either manually or electronically
- Assists in gathering and generating the system access review and document access review reports/memos on a periodic basis




Requirements

Required:
- High School diploma.
- Minimum of 4 years industry experience
- Must be a quick learner, team player, and possess outstanding organizational skills
- Very good analytical and problem-solving skills
- Strong skills in computer applications (MS Office, Word, Excel, Project) are required.
- Great interpersonal skills, with a focus on listening and questioning skills are required
- Excellent oral and written communication skills
- Ability to follow instructions and work well in a team environment
- Excellent customer service skills
- Must have the ability to formulate and express ideas relating to difficult and highly technical concepts
- Must possess good planning, decision making and judgement skills

Preferred:
- Bachelor's degree in a relevant discipline. Equivalent experience may be accepted.
- Experience in the Pharmaceutical, Biotech or Medical Product industry is preferred
- Familiarity with system design, computer operations, disaster recovery, data security and program change control is preferred
