Accounts Payable

Basic Function

 

Provides reasonable assurance that company funds have not been inappropriately disbursed for recorded goods and services, and for payroll bona fine employees based on actual services performed.  Coordinates with corporate, all payroll activities.

 

OVERALL responsibilities

 

  • Compiles and sorts documents, such as invoices, cash receipts, substantiating business transactions.
  • Verifies and posts details of transactions as they occur or in chronological order in account billing, receivable / cash receipts on computer databases.
  • Performs weekly payroll transfers.
  • Reconciles report discrepancies and problems.
  • Processes invoices from vendors for payment, including assembling and verifying documentation, code and submitting for final approval.
  • Maintains computer printouts and paid bill files.
  • Maintains vendor files.
  • Requests and verifies aged monthly payables.
  • Researches and responds to questions concerning accounts payable initiated internally or externally.
  • Compares computer printout with summaries to verify accuracy and reconcile errors.
  • Prepares local, state and federal reports.
  • Files the weekly payroll reports.
  • Investigates discrepancies and resolves payroll questions and issues.
  • Maintains and audits the petty cash.
  • Performs other related duties, as assigned or required.

 

Job Qualifications

Education:  Bachelor Degree

Experience:  Minimum 2 - 4 years experience

Other Knowledge, Skills, Abilities or Certifications: 

High School Diploma or equivalent, plus general accounting courses.  Two to four years experience in general accounting, prefer knowledge of bookkeeping practices.  Ability to do accurate, detailed work, and work independently once familiar with department procedures.  Must be able to interact effectively with other departments.  Must be able to operate various office machines.
